Privacy Policy

1.Who we are

This Privacy Policy explains how Swimpros GmbH ("Swimpros", "we", "us"), a limited liability company incorporated in Switzerland with its registered office at Bändlistrasse 54, 8064 Zürich, collects and uses personal data. Swimpros GmbH is the controller responsible for your data.

We are entered in the Commercial Register of the Canton of Zürich under company number (UID) CHE-281.770.574 and you can check our entry in the official Swiss register. For any privacy question, write to [email protected].

We handle personal data in line with the Swiss Federal Act on Data Protection (FADP) and, where it applies, the EU General Data Protection Regulation (GDPR).

This policy covers everything we do: our camps, our online programmes and community, our kit, and this website.

2.What data we collect

  • Contact details — parent/guardian name, email, phone, and the country or time zone you are in.
  • Swimmer details — name, date of birth or age, gender, swim club and level, best times and goals, WhatsApp number, and anything else you give us to run the camp well.
  • Health and safety information — medical conditions, allergies, injuries or dietary needs you tell us so we can keep the participant safe. This is sensitive data and we treat it with extra care (see Section 5).
  • Booking and payment records — the camp booked, accommodation choice, travel times you share with us, amounts paid and payment status. Card details are handled directly by our payment provider; we never see or store full card numbers.
  • Kit details — clothing size and the name to be printed, where you order kit.
  • Messages and community activity — what you send us by WhatsApp, SMS or email, and your activity in our online programmes and community.
  • Website usage — basic technical data such as device type, pages viewed and how you reached us.

3.Why we use it, and our legal basis

  • To provide the camp, programme or kit and fulfil your booking (performance of our contract with you).
  • To communicate with you about your booking, travel, logistics and the community (contract, and our legitimate interest in running things well).
  • To keep participants safe (legitimate interest and, for health data, your consent).
  • To meet legal and accounting obligations (legal obligation).
  • For marketing, and for photos and videos from camp, on the basis of your consent, which you can withdraw at any time (see Section 10, and the media section of our Terms & Conditions).
  • To understand how our website and advertising perform (legitimate interest, and consent where required — see Section 7).

4.Who we share it with

We do not sell your data. We share it only with parties that help us run the business, and only as far as needed:

  • Our coaches and camp staff, for supervision and safety.
  • Our payment provider (Stripe), to take payments.
  • Our CRM and website platform (GoHighLevel / LeadConnector), which stores bookings, contact records and message history.
  • Our community and course platform (Skool), if you join the community.
  • The camp venue and, for residential places, the accommodation and transfer providers, where needed for the stay.
  • Our kit supplier, where you order kit, limited to the name, size and print details needed to produce it.
  • Measurement and advertising providers (Meta and Google), as described in Section 7.
  • Authorities or professional advisors, where we are legally required to.

5.Health and children's data

Health information is sensitive. We collect only what we need to keep the participant safe, use it only for that purpose, share it only with the staff who need it, and delete it once the camp is over and it is no longer needed.

Most of our participants are children. A parent or legal guardian makes the booking, provides the child's information and gives the consents on the child's behalf. We ask only for what running a safe camp actually requires. If you believe we hold information about a child that we should not, write to [email protected] and we will deal with it promptly.

6.How we message you

We run our messaging ourselves, mostly on WhatsApp, and David answers a great deal of it personally. To keep up with the volume and reply quickly, some messages are prepared with automated assistance that drafts from your conversation history and our own rules, and our systems use those conversations to keep your booking record up to date.

No decision that affects you is made automatically. Nothing is sent that a human has not set up and supervised, and you can always ask to speak to David directly. If you would rather we did not use automated assistance on your thread, say so and we will switch it off for you.

7.Website measurement and advertising

We use Google Analytics and Google Tag Manager to understand how our pages are used, and the Meta pixel and conversions API to measure whether our advertising works and to show our camps to people likely to be interested.

Where we share conversion information with Meta, identifiers such as your email or phone number are hashed before they are sent, so Meta receives a scrambled value rather than your details in the clear. You can control advertising personalisation in your own Google and Meta account settings, and you can manage cookies through your browser (Section 11).

8.International transfers

Some of our providers (for example Stripe, GoHighLevel, Skool, Google and Meta) process data outside Switzerland or the EU/EEA, including in the United States. Where that happens we rely on appropriate safeguards, such as adequacy decisions or standard contractual clauses, so your data stays protected.

9.How long we keep it

  • Booking and contact data — for as long as needed to run the camp and for a reasonable period afterwards, so we can pick up where we left off if you come back.
  • Payment and accounting records — for as long as Swiss law requires, which is generally ten years.
  • Health data — deleted once the camp is over and it is no longer needed.
  • Photos and video — kept while we have your consent, and removed from anything we control when you withdraw it.

After that we delete or anonymise your data.

10.Your rights

You can ask us to:

  • access the data we hold about you, or about your child;
  • correct data that is wrong or out of date;
  • delete your data, where we are not required to keep it;
  • object to or restrict certain uses, and withdraw consent at any time;
  • receive a copy of certain data in a portable format.

Write to [email protected] to use any of these and we will answer within 30 days. You also have the right to complain to the Swiss Federal Data Protection and Information Commissioner (FDPIC), or, in the EU or UK, to your local data-protection authority.

11.Cookies

Our pages use cookies and similar technologies that are needed to make the site work, and others that help us measure usage and advertising as described in Section 7. You can block or delete cookies through your browser settings; the site will still work, but some measurement will be lost.

12.Changes to this policy

We may update this Privacy Policy from time to time. The version that applies is the one published here at the time you interact with us.
